With Microsoft Sharepoint you can collaborate across your department on documents requiring review and input by many. No emailing of documents or storing documents on a shared drive is required. Individuals can set up ‘alert’ to be notified as a document changes. To request a Sharepoint site put in a request to the Service Center at x6911. Training on Sharepoint is offered by ITSC with a training offering coming up in September. |

NKU User ID and Password
Did you know that all NKU employees receive an NKU e-mail address? That’s right, when you are hired; Human Resources enters your data into the new administrative system, SAP (myNKU), to create an individual account. To gain access to individual accounts, all NKU employees must pick up their ID cards from the All Card office. Once the ID card is activated, passwords can be set at the Password Change website and e-mail can be accessed at webmail.nku.edu.
For additional assistance, contact the IT Service Center at (859) 572-6911 or visit it.nku.edu/faculty/email/index.php |

Need help managing your e-mail? Check out our tips below and be proactive.
- Remember that effective email management equals effective time management. Avoid constantly checking and responding to e-mail. Set specific times to read and respond; otherwise, close the e-mail screen to reduce distractions.
- Do you wonder if e-mail the right tool for communication? Evaluate your reasons for using e-mail; a phone call, a face-to face meeting or instant messaging may be a better alternative.
- Create and use rules and filters to folder, forward or block messages.
- Remember to slow the flow.
- Think links vs. attachments. Use shared workspaces and documents, such as SharePoint and Google Docs to reduce e-mail volume.
- Check addresses before sending and replying, especially with mass mailings.
- Be selective when copying messages, cc is frequently overused.
- Use specific and descriptive subject lines, and limit messages to one topic or subject.
- Manage e-mail on content, not all e-mail is correspondence.
- Sort and organize folders based on record type or series and its retention requirements.
- Minutes (U0104, permanent)
- Photographic File (U0107, permanent)
- Correspondence-General (U0101, 2 years or less)
- Correspondence-Official (U0100, permanent)
- Keep only the last message in a chain; clear out sent messages once a reply is received.
- Schedule time to review, move and delete files and stick to it! Do not use your inbox for long- term storage.
- Empty your deleted files and junk mail folders!
